Code of Conduct

To ensure the best possible experience for all attendees, we have established some basic rules for event participation that apply to all VHMA educational events. The goal is to preserve a climate that encourages civil and professional dialogue; the VHMA reserves the right to suspend or terminate access to VHMA events for anyone who violates these rules.

Program Schedule

The conference schedule and program descriptions are available in both the event app and on the VHMA website. Program presentations and speaker-provided resources will be accessible in the event app as they are received from each speaker. We encourage you to create your personalized agenda in advance to make the most of your event experience.

CE Hours and Tracking

Use the app’s Continuing Education (CE) tracking feature to log the sessions you attend and email yourself a CE transcript.

Continuing Education Hours are available for the VHMA Annual Conference
•  7 CE Hours for the pre-conference workshop (live, in-person)
•  17 CE Hours for conference programs (live, in-person maximum)
•  Total of 24 CE Hours for pre-conference and conference programs (live, in-person maximum)
•  Total of 39 CE Hours for both live and on-demand programs
 
Registered conference attendees will have free access to all the session recordings for CE after the event.
CVPM and CVOM members and candidates can complete and submit the form available at the conference as a
journal entry online through your VHMA Certification Dashboard (https://vhma.roc-p.com).

Meals

Networking Table Assignments: One of the greatest benefits of attending a VHMA conference is the opportunity to connect with fellow veterinary leaders. Your name badge will include a table color to help you meet new colleagues during meals and networking events. We encourage you to sit at a table with your designated color, introduce yourself, and expand your professional network.

Buffet Breakfast: Thursday, Friday, and Saturday

All food will be clearly labeled, with gluten-free, nut-free, dairy-free, vegetarian, and vegan options identified to accommodate a variety of dietary needs.

Conference Games & Prizes

Mobile App Game: Complete app challenges, earn points, climb the leaderboard, and compete for cash prizes.

Passport Game Card: Visit sponsor booths, collect stamps, and complete your card for a chance to win a $500 Visa Gift Card.

General Membership Meeting & Pinning Ceremony

All VHMA members are encouraged to attend as the VHMA President will report on the year's accomplishments. We will also be pinning our newest CVOM and CVPM classes.

$79 Tuesday, Wednesday and Thursday nights - single/double+++
$199 Friday and Saturday nights - single/double+++

  • There will be an additional per-person charge of $25.00 for triple/quad occupancy.
  • All rooms are subject to thirteen percent (13%) Washoe County Room Tax, the daily resort fee ($34.00) plus tax, and a daily $2,00 tourism surcharge fee (all fees subject to change).
  • Reservations Deadline: Monday, August 24 

Please be sure to mention that you are attending the VHMA 2026 Annual Meeting and Conference to secure the group rate. The group's discounted block of rooms is available Wednesday through Saturday night. There are very limited rooms in the block for Saturday night. You can book beyond those nights, but the group rate is not guaranteed. It is based on space and rate available. 

 

VHMA has set aside a limited block of rooms. Rooms are available until the block has sold. Any reservations received after this date will be honored on a space-available basis.

  • The rate is per room, per night for a standard room. Rate is subject to applicable taxes in effect at the time of check-in.
  • All reservations must be accompanied by a first-night room deposit or guaranteed with a major credit card.
  • Cancellations must be received by 72 hours prior to the scheduled arrival date to avoid a cancellation fee or no-show fee (fee equal to one night’s room and tax).
  • If a guest booked checks out prior to the end of the booked reservation, a $50.00 early departure fee will be charged.
  • Complimentary Wi-Fi is available in guest rooms and throughout the meeting space.
  • Check-in time is 3:00 p.m. and check-out time is 11:00 a.m.

 

Parking: Complimentary parking is available on site.

Airport: The Reno-Tahoe International Airport (RNO) is 2.5 miles from the hotel.

Free Airport Shuttle: The shuttle departs the airport every 30 minutes, from 4:45 a.m. to 12:15 a.m. Pick up is from the exit located at the far end of baggage claim area.
